 Legislative Breakfast Toolkit
A suggested timeline for planning your breakfast

August-October 
  • Local committees form and have first meetings
  • Schedule event dates  -Suggested times include: Friday mornings 8-9, luncheons, and evening receptions.
  • * It is recommended for at least two events to occur in December to align with the Governor's budget
  • Determine host libraries
  • Contact area legislators for availability
  • Inform MBLC and Legislative Committee of confirmed dates and locations (maryrose.quinn@state.ma.us and legislative@masslib.org)
  • Use this link to fill in MBLC Master Calendar; this allows the MBLC to assign Commissioners to attend

November

  • Meet with host libraries to discuss menu, set up, programs, reimbursement, etc.
         Menus can be anything from continental breakfast to full sit down offerings, depending on host library and budget. 
  • Send out fundraising letters to Friends Groups/Trustees (Note: check with your network about how they handle donations)
  • Confirm speakers for programs, including:
    1. Host librarian or local trustee

    2. Town/City official(s) (optional)

    3. Host/Local Legislator

    4. MBLC Commissioner or MBLC staff - introduce the Legislative Agenda

    5. Network representative (optional)

    6. MLS representative

    7. MSLA representative (optional)

    8. MLA representative

    9. Other legislators (optional)

    10. Host librarian to close

  • Host library should invite state legislators and ask that they Host the event; and, local elected officials to introduce the day
  • Prepare invitations and programs for printing. Include Library Legislative Day date on program.
  • Plan press releases and other PR
December-January
  • Send out invitations, including links to online registrations (name, library/organization, municipality, email contact)
  • Fundraising reminders - related to costs incurred for the event 


January-March  (including events)
  • Stay in contact with legislators and others who have agreed to speak; provide them with day's agenda
  • Send out PR related to your audience
  • Send digital reminder closer to event date
  • Send Zoom or meeting link ahead of the event and again the night before the event
  • Prepare sign in sheets for attendees.  Prepare other handouts. MBLC will bring agenda copies and other materials
  • Day of event: name tags and pens, volunteers to work check-in, refreshments, AV needs


Post Breakfast

  • Record: names, library, municipality, legislator/aide
  • Fill out survey report for legistlative@masslib.org
  • Ask attendees to register with MLA's Engage service
  • Reimburse host libraries
  • Ask host library directors to send thank you notes to legislators
  • Send “thank yous” to host libraries
